Information used
This may include learner and guardian names, contact details, age bracket, level, subject, exam board, goals, appointments, payment status and correspondence. Support information is optional; share only what is relevant to teaching, safety or reasonable adjustments.
Why it is used
Information is used to answer enquiries, manage bookings, provide tuition, communicate changes, keep proportionate records, meet safeguarding and legal duties, manage payments and improve the service. The lawful basis depends on the information and purpose.
Children and guardians
Under-16 bookings require a parent or guardian as booker, payer and main contact. Ages 16–17 require guardian details and consent.
Service providers
TidyCal handles bookings; Stripe handles payments; Google Calendar and Meet support scheduling and online lessons; Cloudflare hosts and protects the site and CRM; Google Analytics 4 is used only after optional analytics consent.
How long information is kept
Sam reviews records and deletes or anonymises information when there is no longer a clear reason to keep it.

- Kept while active and for a limited follow-up period.
- Bookings and customer records
- Kept while tuition is provided and afterwards only while needed to manage the relationship or resolve queries.
- Payment and accounting records
- Kept for the period required for tax, accounting, fraud prevention and legal obligations.
- Safeguarding information
- Kept only where necessary for safeguarding responsibilities, with access limited and retention reviewed carefully.
- Learning and support information
- Reviewed during tuition and deleted when no longer useful for teaching, safety or reasonable adjustments.
- Analytics data
- Collected only after consent and retained according to the configured analytics settings.
Your rights
You may ask for access, correction, deletion, restriction or portability, object to some uses and withdraw consent. You may complain to the Information Commissioner’s Office at ico.org.uk.
